Welcome to StrataDesk, your building's virtual concierge assistant — a product of Room Realize Technologies Inc. ("Room Realize", "we", "our"). We respect your privacy and are committed to protecting the limited information processed through our service.
This Privacy Notice explains how we collect, use, and protect information when residents interact with StrataDesk via text message or the portal.
1. What Information We Process
- Your unit number
- Your visitor's vehicle details (e.g., license plate)
- Time and date of your request
- A secure, hashed version of your phone number (we do not store your actual phone number)
- System metadata (timestamps, delivery status)
We do not store resident names or raw phone numbers in our database.
2. How We Use Your Information
- Verify and process visitor parking, amenity, elevator, patrol, or package-related requests
- Send confirmations or updates via text message
- Provide authorized staff with the information required to manage building operations
We do not use your information for marketing, profiling, or unrelated purposes.
3. Where and How Information Is Processed
All data is encrypted in transit and stored securely. To deliver messaging and automation, we use trusted cloud communication and AI infrastructure. While Room Realize operates in Canada, some processing may occur outside Canada through these providers. All third-party systems we use are required to maintain strict confidentiality, security, and privacy safeguards consistent with Canadian legal standards. We do not sell or rent data.
4. Data Retention
- Message logs and related data are retained for no longer than 90 days
- After that, records are securely deleted or anonymized
- Aggregated, non-identifiable statistics may be retained longer to improve reliability
5. Access and Control
Your building's management or strata council is the primary administrator of StrataDesk. They control which phone numbers are authorized and may access records needed to manage operations. If your number changes or you cannot use the system, contact your concierge or building administrator.
6. Our Role
Room Realize provides StrataDesk as a service platform on behalf of your building. The building is responsible for obtaining resident consent. Room Realize acts as a service provider (processor) and handles information only for the purposes described here.
7. Your Privacy Rights
You may contact us to ask what data is stored, request correction or deletion (where applicable), or ask questions about our practices.
8. Updates
We may update this notice to reflect improvements or legal changes. Updates will be posted here with a revised date.
